You can define multiple sets of rules which dictate who must approve new compliance registrations made for or by suppliers on LeanLinking. The Users who are assigned these roles are called Gatekeepers.
As an example the Gatekeeper role can be used for select suppliers within a specific category or group where all registration activity should be run by and approved by specific users, such as the category manager within your company.
A Gatekeeper will receive an e-mail notification when a compliance registration has been made by a supplier or user within the parameters set by the rule, such as within the chosen Group, Category, Template or specific Status codes.
Similarly a Gatekeeper has the ability to block registrations by changing the Status code on each registration that they are the Gatekeeper of. Other users can not block (or un-block) registrations.
Note that Gatekeepers will always receive Gatekeeping e-mails regardless of the notification settings on their User profile.
How do I set up a Gatekeeper rule?
- Go to the Gatekeeper page in the Admin module.
- Click the Create button.
- Use the drop-down menus in the pop-up window to define your Gatekeeper rules. Note that the rules between the conditions are 'AND' rules and not 'OR' rules, so if you make a rule based on a certain group, category, status and template, the gatekeeper user will only receive a notification if ALL the conditions of the rule are met.
- Click the Create button. The user(s) will now start receiving e-mail notifications when compliance registrations meet the criteria set.
- Note that you can add as many different rules as you need.
