From this page you can upload Excel fiels with KPI data that you have collected outside of LeanLinking. The raw data you have will have to be formatted to the specifications detailed on the KPI Data Specification page, which shows you the formatting based on the columns you have defined.
It is important to note that you can upload all your KPI data in one file, or you can upload it in separate files with each level or KPI on its own.
Your KPI data can also be imported directly to your LeanLinking company account via API. This way you can automatically push the data from your systems to your LeanLinking account without needing the manual upload.

How do I upload my KPI data?
- Go to the KPI Upload page in the Admin module.
- Click the Select File button, then navigate to and select the Excel file you have created. Note that this file needs to fit the LeanLinking data specifications as mentioned above.
- If you want to share your KPI data with the individual suppliers, check the box marked Send notification by email to External Partners if an uploaded KPI is visible to them. Checking this box will send an e-mail notification to the suppliers that you have uploaded KPI data on, provided that you have set that data as Externally visible in the KPI Definitions.
- Click the Save button.
How do I create a KPI Upload file?
- Acquire the raw data from your ERP or Database system. If you don't have access to it, contact your IT department. Note that the data you need depends on the KPIs you have defined.
- Create your KPI Upload template file from the rows and columns shown on the KPI Data Specification page. Each row on that page represents a column in your file, so Position 1 should be the first column, Position 2 should be the second column and so on. The Field Name in the example below may look different from your own depending on how you have defined your individual columns.
So for the image above (taken from the Data Specification page) the Excel file would like this:
3. Fill in the relevant data as detailed below:
- This is the column that defines which supplier the KPI data belongs to. External Partner Number is the ID number generated for each supplier by LeanLinking. You can find this by going to your Supplier overview and exporting your suppliers to an Excel file. Enter the ID number in the first column in every row that contains data related to that supplier.
- This column is mostly for clarity and easier navigation in larger KPI files. Fill in the name from the same Excel export you used to fill in the first step. Again, fill in the same name for every row that contains data related to that supplier.
- This column defines which KPI Definition you are filling in the data for. You can see an overview of the KPI Numbers and their related KPI definitions on the KPI Data Specification page. Simply write in the number of the KPI the row will contain data for. The data itself will be in a different column. Again, write in the same KPI number in every row that will contain data for that specific KPI.
- Column D is the type of data you are uploading. There are two types: TOTAL and Sublevel data. If you write in TOTAL, the data you are uploading should be the total value in the period (so if the KPI you are uploading is Spend for month 7 of 2019, one row should read TOTAL in column D, and then the total spend for that month of that year. The value itself goes in column G, as detailed below. If you write in anything but TOTAL, it will count as a sublevel value, and so there can be multiple values for the same KPI number and period depending on what your sublevel definition is. As an example, if your sublevel definition is Products, each row could be the spend on each of your products from this supplier in that period.
- This is the month of the period you are uploading KPI data for, and thus should be a number between 1 and 12 where 1 is January, 2 is February and so on.
- This is the year of the period you are uploading KPI data for, and thus should be four number characters.
- KPI Value is the raw data of your KPI. If you are, for example, uploading spend data, this field column should have the total number of spend data. Do not include anything but number characters, such as currency characters. If the KPI is a percentage (as defined in your KPI definitions) the number should be decimals, so 70% is 0,70 and not 70,00.
- The Benchmark Value depends on what you are benchmarking against, but it will usually be your target. As an example, if your target OTIF% is 100% simply write 1,00. Another example, if your target spend is 1.250.000, simply write 1250000.
- This field can be used in rows for TOTAL values and can be filled in with the total value of the KPI across all suppliers measured on this factor. This field is not mandatory.
- If you have any KPI Custom Columns added, these should go in the numbered order detailed in the KPI Data Specifications after column I.
4. Save your filled in template file.
5. Go to the Admin page -> KPI Upload.
6. Click the Select file button.
7. Navigate to your filled in template file and click Open.
8. Click the Upload button.
9. If there are any immediate problems with your file you will be notified in a pop-up window. Otherwise go to the Home page and wait for a new update stating that you have uploaded the KPI data. Then check your notifications to see if any errors arose during the upload.
