Everything you need to do to manage documentation is available from the Compliance Overview on LeanLinking. Below you will find a few basic functionalities to help you manage your documentation.
Show documentation for your own suppliers
If you are only interested in seeing documentation for your own (or any specific user's) suppliers, simply use the filter on the Owner column and select the user(s) you want to see registrations for.
As an example, filtering on John Doe will only show registrations made on suppliers that John Doe is the owner of.
Check for upcoming documentation in need of renewal
LeanLinking will automatically send notifications based on Alert- and End dates set on a registration. The person who made the registration will be the person who receives the notification. You can also manually check up on upcoming end dates by sorting or filtering on the End date column. To sort by date, simply click the headline.
Rate the quality of a registration
For some types of documentation (such as audits or questionnaires) it can be beneficial to rate the quality of the answers given. This is very easy to do! Simply click the registration in question, and click the star rating. This rating will then be visible on the Compliance Overview, making it easy to identify unsatisfactory registrations.
Approve documentation
Individual registrations can be approved or disapproved, made inactive, or blocked for editing. If your company has not set up specific approval flows, you are free to do use the feature.
To change the status on a registration simply click the registration in question to open it, then select the appropriate status. If you select any blocked for editing statuses, the registration cannot be changed before the status is changed.
A registration's status can also be individually changed for specific purposes or sites if this feature is enabled. To do this simply click the Local Status button.
Edit a registration
If changes need to be made to the answers given on a registration, or if the End- or Alert date need to be changed, you can do this by opening the registration and clicking the Edit button. This will send the registration back to the Draft stage where you can change it as needed.
Get notified when another person's documentation is up for renewal
Ordinarily the person to receive notifications upon reaching the Alert- and End dates is the person who originally made the registration, but you can also set yourself to be notified. Simply click the Edit button on a registration as shown above, then check the Notify Another User checkbox. Finally select the person you want to notify (such as yourself) and click Submit Your Answers to save it.
Keep in mind you may not have the privileges to edit all compliance registrations.
Follow registrations to get notified about changes and comments
In cases where you need to be notified of any and all changes being made to a compliance registration you can click the eye icon in the top right corner on any registration. Whenever a change or comment is made, you will receive an e-mail notification with a direct link to the registration.
Export registrations to Excel
If you need a different kind of view, or you need the answers on a template for your own kind of analysis, you can export your current Compliance Overview to Excel very easily.
Set up a filter that shows the templates and registrations you're interested in, then click the Export button.
In the export your first view will be a list of the template registrations that were exported. Each of the additional tabs along the bottom then lists all answers given on the individual templates - Each tab is one template listing all responses and registrations made.
